Backdating will not be considered – please express your intent in writing ASAP.
Non-Refundable Fees
The Swim BC fee, DST account activation, and first month training fees are non refundable. In addition, Swim Meet fees are non-refundable in most cases. See information below.
Swim Meet Fees
Swimmers must be confirmed through their online DST Account to participate in any Competition. Details for each Event are listed on the DST Events Page. - 1st offense: nil penalty
- 2nd offense: $20 fee
- 3rd (and subsequent) offense: $50 fee
Swim Meet entry fees are listed in each specific Meet Information Package, included in the Event Page. Swim BC Sanctioned competition or Time Trial has an entry fee charged to member’s accounts pre competition. DST Staff are volunteering on behalf of your Swimmer so their travel and incidentals are also covered by all participating swimmers EXCEPT for Championship level competitions.
These fees are non-refundable after the posted “scratch deadline”. Meet Entry Fees may include:
- Individual Event Fees
- Relay Event Fees
- Swim BC Splash Fees

These amounts are calculated and all confirmed participants will receive an Entry & Fees Report outlining their swimmer’s chosen events as well as the cost. You will have a minimum of 24hrs to review prior to the Final Deadline.
è In the instance of illness, injury, etc after the No Charge Scratch Deadline DST Staff will appeal to the Host for refund of fees IF done in a timely manner PRIOR to the competition and supporting documentation is received ie Physician’s note. Refund of fees are wholly at the discretion of the Host and all communication is to conducted solely by the DST Staff.
TO NOTE: It is solely the responsibility of the DST Staff to communicate on behalf of the Duncan Swim Team. Any member who contacts the Host Team independent of the DST Staff will have their Swimmer’s participation placed under review.
Team Travel meets or travel training trips will incur additional expenses such as transportation, food, additional training fees, etc. These approximate amounts will be listed on the Event Page with 50% of this amount being due prior to the Event and the balance being calculated and invoiced post Event.
Fundraising:
There is no mandatory Fundraising requirement for families, but your participation in fundraising initiatives benefit everyone! Fundraisers may be held to raise funds for a stated purpose, such as saving up for team travel or for equipment purchase, while others are held to raise funds for other team expenses, such as social events.
Family Participation Points
To host competitions and other events, families are required to volunteer to earn volunteer credits based on their child’s group commitment: Family Participation Points “FPP”s. Here’s how it works:
- Points are assigned to each level within the Stingrays: higher levels more requirement, newer levels lesser.
- Each point is a valued at $100. At point of Registration, Families submit their appropriate amount to be held in trust.
- Amounts must be accounted for PRIOR to the first day of swimming. Preferred payment can be made via Credit Card, EMT. PAYMENT MUST BE RECEIVED for your Swimmer’s membership to be approved and active.
- Families with multiple members, the number of points required are calculated at:
- Highest level swimmer points commitment
- 1 point per swimmer thereafter, regardless of group
- Successful completion of FPPs results in a credit to be held for the 2024-25 season or can be gifted back to DST or another DST family in the 2023-24 season.
- It is the responsibility of the member to complete their ONLINE SIGNUP through the DST site to ensure accurate accounting of volunteer sessions. Uncertain how to do this? Please contact our Volunteers Coordinator officials@duncanstingrays.com
- Failure to earn some or all volunteer points will result in the non refund of funds held in lieu.

Families committed to the DST D Group (entry) program will have the option of attending the M/Th/F for their 2 sessions per week.
Equipment Recommended for D Group:
- Team Gear: DST top, DST Cap
- Training Gear: Personal Kickboard
D1 – entry level
This program is the continuance of developing the young competitive swimmer with competition being at the (novice) Regional level; typically 8 – 10yrs of age. Swimmers will work to solidify each stroke’s Swimming specific rules as well as refining the 4 Swimming strokes and expand their endurance with an eye towards improving their Swimming for competition. Swimmers at this level are keen on improving their physical and technical skills. Mental skills training is introduced.
Participation in competition is encouraged for all participants at least 1 x per cycle (3 mo period). Competitions will be held on Vancouver Island and at a 4 – 6wk interval. Swimmers who achieve any Time Standards for Invitationals, Championships, etc will be invited to attend.
D2 – intermediate level
This program is the focus of the “D Group” program where the swimmers attend a minimum of 3 water sessions per week and have earned an open invite to the Challenge Group’s weekly Yoga Session. Athletes will work on competitive stroke fundamentals, the advanced basics of starts and turns, and their ability to swim more extended events. This group also aims to earn their invite to the Vancouver Island Regional (VIR) Championships. Competitions are held all over Vancouver Island and are typically 4 – 6wks apart.
D3 – advanced level
This program is the pathway for the skilled swimmers showing interest and enthusiasm of being competitive with their peers within the Vancouver Island Region (VIR); typically 9 – 11yrs of age. The primary focus of this group is the technical improvement in all strokes, distances, turns, and starts. The secondary focus of the group is learning the Sport of Swimming, including the rules, nutrition, and self management at practices and Meets. Endurance training is not the primary focus of this group. Any “endurance” improvements will happen as a natural product of learning and rehearsing
In cooperation with both the D Group & C Group Program Coordinators, the Swimmer identifies a session per week to attend a C Group session in lieu of their typical D Group session. Families can expect the invite being sent when the DST Staff have determined swimmer readiness within the physical, technical, mental, emotional, and social expectations of the next level. DST Staff endeavor to create a positive experience and so appropriate timing within the season to commence the swimmer visitations is also a consideration.
Swimmers may move fully to their next group upon invite or commence ‘visits’. Typically, swimmers take about a month to become familiar and confident with their next level. Swimmers may take as short / long as they need provided they are not a disruption in their present group.

“C Group”: This level of our program is for highly motivated athletes ages 10yrs & older who are committed to long-term development and have met all of the listed group prerequisites. The group’s focus is learning to training, mastering more sophisticated techniques, and exposing the swimmer to expanding the aspects of Competitive Swimming and the sporting lifestyle. Training emphasis will consist of skill, physiology, and mental development. To promote continued improvement through the Stingrays’ long-term development plan, as well as success in training at the Challenge level, requires elevated and consistent commitment from its athletes.
Swimmers will have 12 – 15 competitions per year, highlighted by a Regional, Divisional, Provincial, or National Championship.

- Ability to count own repetitions and follow pace clock on intervals 1:20/1:40/:55/:50
- Swimmer is expected to race all 4 strokes + distance Freestyle every Cycle (10-14wks)
Attendance Requirement:
75% attendance is recommended in this group for swimmer to progress. “Attendance” for the session includes completing 100% of the training session. Families can anchor their week on the base C Group water sessions of: Tues PM & Fri PM and then select 1 - 3 more sessions.
Failure to meet these group requirements will result in a re-evaluation of the Swimmer’s position in the program by the Lead Coach and the Head Coach. Evaluations are made on a monthly basis.
NEW: Physical Literacy / Strength & Conditioning
Swimmers’ education for their dryland training is a must. To ensure safety and maximize teaching & learning opportunities for the Team as a whole, we are encouraging families to aim for at least a 50% attendance commitment for the Physical Literacy programming on Thurs AM. Failure to fulfill the 50% attendance commitment – assessed monthly - will result in Swimmers being un-invited to the dryland sessions until the next Cycle startup (Sept-Dec, Jan-Mar, Apr-July).
Our aim is not to disclude Swimmers, more so, to ensure the consistent attenders are not hindered by those who do an occasional drop in. Please have your family plan around when this commitment can be a reality for you.
Equipment recommended for C Group:
- Team Gear: DST top, DST Cap
- Training Gear: Kickboard, Pull buoy, Equipment Bag
- Dryland Gear: Yoga Mat & Block
C1 – entry level
This level is for children ages 11yrs & Under who enjoy swimming and are interested in participating in the Sport of Swimming. Athletes will work on competitive stroke fundamentals, the advanced basics of starts and turns, and their ability to swim more extended events. This group aims to graduate to the VIR Championships level of racing. There may be a possibility of one off-Island travel opportunity during the season.
C2 – intermediate level
This level is for athletes ages 11yrs & Under who have been introduced to Competitive Swimming and wish to continue with the Stingrays’ long-term development plan. The primary focus of this group is the technical improvement of all strokes and distances, turns, and starts. The secondary focus of the group is learning the Sport of Swimming, including (but not limited to) the rules of our Sport, nutrition, and self management at practices and meets. Endurance training is not the primary focus of this group. Any ‘endurance’ improvements will happen as a natural product of the learning and rehearsing. Athletes will have the opportunity to race every 4 – 6wks with the expectation of racing at least twice per Cycle (10 - 14wk period). Swimmers who achieve the Qualification Times (QTs) for invitational or provincial level championships meets will be encouraged to attend. Travel meets will require a parent or guardian to join their swimmer.
C3 – advanced level
This level is for swimmers preparing to move to the B Group. Athletes are encouraged to commit to all of their water training sessions as well as the additional Physical Literacy sessions prior to requesting commencing their B Group visits.
In cooperation with both the C Group & B Group Program Coordinators, the Swimmer must attend one weekday morning B Group session per week in lieu of their typical C Group session of their choosing. Families can expect the invite being sent when the DST Staff have determined swimmer readiness within the physical, technical, mental, emotional, social & group expectations of the next level.

- 16 x 100 Freestyle 1:45 holding 1:35 or better
- 10 x 100 IM 1:55 holding 1:45 or better
- 400 Flutter Kick <8:00
- 400 Freestyle <5:50
- 200 IM <3:10
- Swimmer is expected to race all 16 events every season, regardless of SC or LC.
Attendance Requirement:
80% attendance is required in this group for swimmer to progress. “Attendance” for the session includes completing 100% of the training session. Families can anchor their week on the mandatory B Group sessions of: Wed AM, Fri AM, Fri PM and then select 2 – 4 more sessions.
To ensure safety and maximize teaching & learning opportunities for the Team as a whole, we are encouraging families to aim for at least a 50% attendance commitment. Failure to fulfill the 50% attendance commitment – assessed monthly - will result in Swimmers being un-invited to the dryland sessions until the next Cycle startup (Sept-Dec, Jan – Mar, Apr – July).
Our aim is not to disclude Swimmers, more so, to ensure the consistent attenders are not hindered by those who do an occasional drop in. Please have your family plan around when this commitment can be a reality for you.
As well, we have formulated a minor progression scale for all participants:
- Swimmers attend CAC: ABC Entry Physical Literacy on Thurs AM: knowledge session
- Swimmers attend CAC: AB Physical Literacy on Tues AM: training session
- Swimmers attend VI Strength: AB Strength & Conditioning: knowledge session
Swimmers must earn their invite to a higher level dryland training program based upon their desire to learn and coachability. Safety is our first priority! Swimmers will be continually assessed and encouraged to expand their opportunities for S&C training to a maximum of 2 sessions per week.
Start with a single session at #1 above. Swimmers who move on to #2 above are then eligible to attend 2 sessions per week (#1, #2). Swimmers who move on to #3 above are then eligible to attend 2 sessions per week (#2, #3).
Equipment recommended for B Group:
- Team Gear: DST top, DST Cap
- Training Gear: Kickboard, Pull buoy, Equipment Bag, Fins, Snorkel
- Dryland Gear: Yoga Mat, Block, Band
B1 – entry level
This level is for swimmers ages 11yrs (female) / 12yrs (male) & Under who enjoy swimming and are interested in dedicating themselves more towards their chosen sport. Athletes will work on all four competitive stroke fundamentals, the advanced skills of starts and turns, and their ability to strategically race more extended events. This group aims to graduate to the Swim BC Championships level of racing. There may be a possibility of one off-Island travel opportunity during each Cycle.
B2 – intermediate level
This level is for athletes ages 11yrs (female) / 12yrs (male) & Under who are keen to dedicate more to their Competitive Swimming experience and wish to continue with the Stingrays’ long-term development plan. The primary focus of this group is the technical improvement of all strokes and distances, turns, and starts. The secondary focus of the group is learning the tactics of each stroke and their corresponding race distances. Athletes will be challenged across the 3 energy systems to enhance their performances at strategic points throughout the season. Athletes will have the opportunity to race every 4 – 6wks with the expectation of racing at least twice per Cycle (10 - 14wk period). Swimmers who achieve the Qualification Times (QTs) for invitational or provincial level championships meets will be encouraged to attend. Travel meets may require a parent or guardian to join their swimmer.
B3 – advanced level
In cooperation with both the B Group & A Group Program Coordinators, the Swimmer identifies a session per week to attend an A Group session in lieu of their typical B Group session.

Stingrays’ Parents Role
As a parent / guardian of a swimmer, families understand that swimming is simply a sport that their child does. The role of the Swimming Family is to support, love, and encourage their child. Swimming teaches children many life skills and can build one’s character. The Stingrays Coaches will help teach the swimmers about commitment, work ethic, teamwork, living a healthy lifestyle, managing their time, (and so much more!) not just how to swim fast. Support the Coach and the Stingrays program.
Kids progress at different times. Families must understand that some swimmers will be much more skilled and advanced at a young age while others will progress faster as they get older, stronger, more skilled, and coordinated. All swimmers progress differently amongst the main 4 skills that our Coaches teach: physical, mental, technical, and tactical. This is not a linear path and your Coaches are here to support your Swimmer’s growth. Your kids will have successes and failures. Be a positive role model in these times. As a parent, your children look to you to set an example, not to be a coach. If you have questions or concerns, talk to the coaches at a pre determined time. If there’s a problem, discuss it with your child’s Coach or, if not satisfied with your child's Coach’s response, please bring this forward to the Head Coach. Your child and their Coach will appreciate you for it.
Lastly, a swimming family must understand that swim clubs are primarily driven by its members. We encourage you to volunteer and support the Stingrays with any ideas that will help the team grow, be a better organization or assist with building a successful environment for all of the children of our Team. Each one of our members is striving for growth amongst our 4 main skills, and each one of our members will grow at their pace. Please help the Coaches support the growth of your child in all facets of the sport as it is our belief that a well rounded athlete is one that will ultimately grow to become an independent, well rounded adult.
Conflict Resolution Procedures
In keeping with the Team Philosophy outlined in the Parent Handbook, all communication between families and coaches should be respectful and constructive. Aggressive or abusive language is not permitted. When a family has questions or doubts about what is happening at the pool, the first step is to talk with the Coach about your concerns at an agreed upon time and place. If the parent is dissatisfied with the answers, they should wait 24 hours before further action. This requirement allows for a reassessment of the matter in hope of calming any emotional reactions. If an agreement cannot be reached after discussion with the Coach, the parent Conflict Resolution flowchart should be used to determine the next appropriate action. Should any party involved with the conflict usurp the predetermined steps outlined to the right, the offending party agrees to the DST Disciplinary Process as outlined on the next page, proceeding immediately to the Parental & Swimmer suspension until the issue is resolved With everyone’s help, we can continue to provide a program that is inclusive to all and allows for all of our members to grow at the pace that will most benefit their manner of learning. Each person is responsible for his / her behaviour and is capable of making appropriate choices. It is therefore the responsibility of coaches, families, and all others associated with DST to encourage and enforce appropriate behaviour and good decision making.
